Band 8 IELTS letter sample
Dear Sir,
I am writing this letter to inform you that I was not able to send our company’s proposal to Reed Collins on time. Unfortunately, this has resulted in the loss of the project, as the client has decided to hire the services of our competitor.
I take full responsibility for what has happened. It was a critical project and I fully understand the financial loss this incident will cause to our company; therefore, I would like to apologize.
I worked on the proposal for three weeks, but I could not finalize it because of the shortage of time. When I started working on this project, I skipped the detailed planning due to which it became difficult to meet / adhere to the deadline.
I have learnt the lesson from my mistake and in future I will make sure that we do not have to face a similar situation. I have also understood the importance of planning; therefore, for future projects I will always make a comprehensive plan.
Once again, I sincerely regret my mistake. Please accept my apologies.
Yours Faithfully,

Hi Sanu,
Hope you are doing good!
I am writing this letter to express my apology for losing the XYZ project because of the missing of the deadline. I knew this a big loss in terms of revenue and reputation. However, I tried my best to control the situation from worsening but couldn’t do that. There are various reasons for the ramp down of this project which I mentioned below.
Firstly, last Friday, I was about to deliver the project on time which had a deadline of 5:00 PM in the evening. However, there was false alarm started ringing on the floor at 4 PM, due to which I along with all team members were instructed to leave the premises as soon as possible. This whole evacuation process was finished till 7:00 PM which resulted in a delay of submitting the project.
I tried to explain the whole situation to the client but they didn’t want to listen to a single word as they missed the important meeting because of delay in the delivery of the project from our side.
In hope, you understand the situation and forgive me and my team for such an error. In future, we will try to inform the client in advance to avoid conflict in such circumstances.
Hope this justification is fine to express my justification.
Regards,
Shubham

Dear Mr.Parker,
I would like to bring to your attention that our retail client “XYZ” has decided to part ways due to the recent delay in production deployment. I take entire responsibility of this mishap and I will accept any consequences that the board decides.
We were well aware of the importance of this deployment and the team was adhering to the strict timelines. But, two days before the deployment, two of my team members had an accident while going back from office. As they couldn’t come t office, we were not able to deliver the work on time, although the team worked over the weekend as well.
I believe, we were over-optimistic on this project and didnt keep any buffer days to manage such unforeseen situations. This is a learning experience for me, which I will give due importance to in future as well.I have realized how important it is to keep 20% of buffer time while laying the timelines of a project.
Once again,I apologize for the financial loss and on losing an important client.
Yours sincerely,
Nikhil
