Dear Mr. Singh,

I am writing in response to your request for my inputs on ways to improve our reception area.

As you may be aware, we are continuously receiving numerous complaints from our clients about the shoddy condition of the area surrounding the entrance especially the reception. Most of the complainants pointed out that it is not properly cleaned and maintained and that water container on the front desk remains unwashed and empty. Also, it gets extremely hot during summers.

As most of the sofas and chairs for waiting clients have been placed in this area, it is of utmost importance that we pay attention to its cleanliness. In addition, we receive our chief guests of various functions here, so, keeping it well maintained should be our priority.

We need to either renovate it or make arrangements for its improvement; double glazed glasses can be installed so as to maintain conducible temperature in summers. Also, a cleaner can be recruited for regular upkeep of the area.

I would suggest setting up a kiosk installed with a receptionist to greet customers as they enter our office. Another solution is to choose soft and neutral colours for the walls. We should also set up comfortable seating, install a few planters and nice rugs and maintain the AC at a steady temperature.

Dear Mr Smith

I am writing this letter with reference to your request for my suggestions to improve the reception area in order to resolve complaints from our visitors.

As far as the details of complaints are concerned, most of these are related to the seating arrangements. Although the lobby has adequate space to accommodate ten people, the lack of enough chairs is the main cause of concern. In addition to these, there were a few others who complained about the non-availability of drinking water.

In my opinion, the reception area is the most important place for a company. It leaves a lasting impression on our clients and creating a positive impression can help retain the customer for a long time.

Apart from resolving all the customers’ complaints we should also aim to make it even better. I have a few recommendations which you can implement. Firstly, by adding a newspaper station we can greatly reduce the boredom people experience while waiting. Another one is to provide some beverages, doing so will keep them refreshed.

    would like to inform you the complaint about our reception area that we have received from our recently customers the saying there are no facility to seat on customers or no enough staff for provide information such as Booking availability or amenities and reception area air Condition Not working Properly
    The Reception area is important just because they reflecting Hotel image and quality whenever any customer visited to Book any Room or enquiry so first the contact our Reception area for information and if the reception area seems good then customer make a booking

    The reception area could be improved by hire new staff for handle customer Query or resolved on time Change air condition which is fitted in reception area or hire some cleaning staff who’s basically taking care reception cleaning and arrange sofas for seating customer also renovated area to make good environment
